Oral Presentation Instructions

AIPG/AHS/3rd IPGC Joint 2008 Symposium Speaker Policy

Thank you for participating and contributing to this year’s AIPG/AHS/3rdIPGC joint Symposium from September 20th through 24th, 2008 in Flagstaff, Arizona. The technical session presentations will be on Monday and Tuesday, September 22nd and 23rd at the High Country Conference Center, located along the northwest side of the Northern Arizona University campus. In the interest of maintaining a smoothly run conference, it is necessary to set up a few general guidelines:

(1) Each speaker will be allotted 20 minutes.  That includes the actual presentation, and questions from the audience.  We suggest you limit your speaking time to 15 minutes.  You will be notified when 5 minutes remain in your 20-minute allotted time period.  Your talk will be interrupted at 20 minutes, and the next speaker will be announced. 

(2)  Each speaker will be responsible for submitting his or her talk to the AIPG ftp site no later than September 17, 2008. The conference center audio visual center is able to accommodate PowerPoint™ versions through 2007. Each technical session conference room will have a podium with a microphone, PowerPoint™ projector, and pointer. The talks are loaded from a central network station and loaded from there into the specific session. The responsibility for a successful presentation resides with the presenter.  The Symposium planning committee strongly suggests you bring a duplicate copy of your PowerPoint™ presentation on CD, and/or a thumb drive. A speaker’s preparation room may be available at the symposium with the same audiovisual equipment provided in the technical session rooms.  Please be sure to label your CD or thumb drive with author last name, first initial and the title of the presentation.

(3)  Instructions for uploading your presentation to the AIPG ftp site are as follows: 

·         Open your web browser and go to ftp://www.aipg.org

·         In the ‘Log on As’ box that appears, type in the login and password you received in the instructional email (or contact Cathy Duran), select ‘Logon’ or hit enter

·         To view the ftp site in Windows Explorer, click ‘Page’ in the upper right hand side of the screen and then select ‘Open FTP site in Windows Explorer’

·         Double click on the folder ‘2008 AIPG-AHS-3IPGC Symposium Oral Presentations’

·         Reduce the size of the ftp window pane and bring up your presentation file next to the ftp pane. Please label your presentation file by last name - first initial – and a few words from the presentation title

·         Drag your oral presentation to the ftp site (anywhere in the pane)

·         You will see the copying box appear as your file is copied

·         Please contact Cathy Duran at cld@aipg.org or 303-412-6205 after you upload your presentation to the FTP site to verify that your presentation has been received.
